If your Excel files are stored offline (e.g., on your local computer or a company server) and not in the cloud (OneDrive, SharePoint, or Google Drive), you will need to set up a Data Gateway in Personal Mode to automate your dashboard refresh.
⚠️ Note: If your files are fully online (OneDrive, SharePoint, Google API), you can skip this step!
Step 1: Install Power BI Data Gateway (Personal Mode)
Go to the official download page:
Download Power BI Gateway – Microsoft
Select Download Gateway (Personal Mode).
Install the gateway on your personal machine where the Excel file is stored.
⚠️ The gateway must stay active, so keep your computer on and connected to the internet during scheduled refresh times.
Step 2: Sign in to the Gateway
After installation, open the gateway.
Sign in with your Power BI Service account (your work Microsoft email).
Step 3: Register Your Gateway Automatically (Personal Mode)
In Personal Mode, the gateway registers itself automatically—you don’t need to name or configure regions like Standard Mode.
Step 4: Link the Gateway to Your Dataset
Go to https://app.powerbi.com.
Navigate to My Workspace.
Click the three dots next to your Semantic Model .
Click Settings.
Under Gateway Connection, you will see Personal Gateway detected.
Select Use Personal Gateway.
Step 5: Configure Scheduled Refresh
Scroll down to Scheduled Refresh.
Toggle Keep data updated to On.
Choose your preferred refresh frequency (e.g., daily, or multiple times per day).
Click Apply.
✅ Done!
Your Power BI dashboard will now refresh automatically at your selected times.

Ideal for single users working with files on their local computer.
Perfect for freelancers or small teams.
💡 Skip this if:
Your Excel file is already online (OneDrive/SharePoint/Google Sheets API).
In that case, Power BI Service can schedule refreshes directly without a gateway.
